Where you purchase training, we may receive or process information necessary to identify the relevant purchase, purchased courses, transaction references, payment status, enrolment status and applicable refunds or cancellations.
Payments are processed through Paddle, acting as Merchant of Record. Payment details collected directly by Paddle, such as card information, are subject to Paddle's own processing arrangements and privacy information.

This may include information submitted through our Contact and Support forms or communicated by email.
3.7 Technical, Security and Usage Data

The precise information collected depends on the technologies and services used to operate, maintain and protect the website.
3.8 Cookies and Similar Technologies
The website may use cookies or similar technologies for essential website functions, account sessions, learning platform operation and, where applicable, other purposes.
Further details about the technologies used, their purposes and available choices will be provided in our Cookie Policy.
Where consent is legally required, the relevant technologies will be subject to appropriate consent arrangements.
3.9 Information You Choose to Provide
You may voluntarily provide additional information when contacting us or requesting support.
Please avoid including unnecessary sensitive personal data in contact forms or support messages.
Where such information is provided, we will handle it in accordance with applicable data protection requirements.
4. Purposes and Legal Bases for Processing
We process personal data only where we have a valid legal basis under applicable data protection law, including Article 6 of the General Data Protection Regulation (GDPR).
Depending on the purpose and circumstances, we rely on one or more of the following legal bases:
- Performance of a contract: where processing is necessary to provide training services under a contract with the individual concerned or to take steps at that individual's request before entering into a contract.
- Compliance with a legal obligation: where processing is necessary to meet applicable legal requirements.
- Legitimate interests: where processing is necessary for our legitimate interests or those of a third party, provided those interests are not overridden by the rights and freedoms of the individuals concerned.
- Consent: where we request and obtain valid consent for a specific processing purpose.
4.1 Responding to Enquiries and Support Requests
We process contact details, enquiry content and related correspondence to respond to questions, provide information about our training services and handle support requests.
Depending on the circumstances, the legal basis may be performance of a contract, steps requested before entering into a contract or our legitimate interest in responding to enquiries and providing customer support.
4.2 Managing Learner Accounts
We process account identification details and relevant authentication information to create, administer and secure learner accounts.
Where processing is necessary to provide a training service under a contract with the learner, we rely on performance of that contract.
Where a learner's access is arranged through an organisation rather than a contract directly with the learner, another applicable legal basis, such as legitimate interests, may be relevant.
4.3 Providing Courses and Recording Learning Progress
We process course enrolment details, access information, learning activities, lesson completion and progress records to provide purchased training services and administer participation.
The legal basis depends on the relevant contractual arrangements and may include performance of a contract or legitimate interests in administering training for designated learners.
4.4 Assessments and Certificates
We process assessment results, completion information and certificate-related details to evaluate course completion and administer certificates where included in the training service.
The applicable legal basis may be performance of a contract or legitimate interests, depending on the relationship between the purchaser, learner and Calibration Training.
4.5 Purchase Administration and Transaction Management
We process relevant purchase references, course entitlements, payment status and cancellation or refund information to administer enrolments, provide purchased training and handle transaction-related enquiries.
The legal basis may include performance of a contract, compliance with legal obligations or legitimate interests, depending on the processing activity.
Paddle, acting as Merchant of Record, separately determines the legal bases for processing activities for which it acts as an independent data controller.
4.6 Website Operation and Security
We may process technical information, access logs and security-related data where necessary to operate, maintain, troubleshoot and protect our website and learning platform.
Depending on the processing activity, we may rely on legitimate interests or compliance with a legal obligation.
Our legitimate interests include maintaining a secure and reliable learning environment, preventing unauthorised access and investigating technical problems.
4.7 Legal Obligations and Disputes
We may process relevant personal data where necessary to comply with applicable legal obligations, respond to lawful requests or establish, exercise or defend legal claims.
The applicable legal basis may include compliance with a legal obligation or legitimate interests, depending on the circumstances.
4.8 Optional Marketing Communications
Where we send optional marketing communications requiring consent, we will request that consent separately from acceptance of our Terms & Conditions or registration for training.
Where processing relies on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.
Any other legal basis relied upon for a particular type of commercial communication must comply with applicable marketing and data protection legislation.
4.9 Cookies and Similar Technologies
Strictly necessary technologies may be used where permitted by applicable law to provide essential website and learning platform functions.
Where consent is required for non-essential cookies or similar technologies, we will request that consent before using them.
Further information about the technologies used, their purposes and available choices will be provided in our Cookie Policy.
4.10 Assessment of Legal Bases
The legal basis applicable to a particular processing activity depends on its actual purpose, the individuals concerned and the relevant contractual relationship.
Where legitimate interests are relied upon, we will assess the necessity of the processing and balance those interests against the rights and freedoms of the individuals concerned.
We do not treat acceptance of our Terms & Conditions as consent to all processing activities.
5. Sharing Personal Data with Third Parties
We may share personal data with trusted third-party service providers where this is necessary to operate calibration.training, provide our training services, administer purchases, communicate with learners or comply with applicable legal obligations.
We do not sell personal data to third parties.
5.1 Website Hosting and Technical Infrastructure
We use external hosting and technical service providers to operate, maintain and secure the calibration.training website and its associated systems.
These providers may process personal data as necessary to deliver their services, including website account information, technical information and data stored within the learning platform.
Our current website hosting provider is Hostinger.
5.2 Learning Management System
Calibration Training uses WordPress and Tutor LMS, together with related software components, to provide learner accounts, course enrolments, learning activities, assessments and certificates.
Personal data processed through these systems may be accessible to relevant technical service providers where necessary for the provision of their services.
The use of a software product does not, by itself, mean that its developer receives all personal data stored within our website.
5.3 Payment Processing and Paddle
Online course purchases are processed through Paddle, acting as Merchant of Record and authorised reseller.
Paddle may process purchaser identification details, billing information, transaction details, payment information, tax-related information and refund or dispute information in accordance with its applicable contractual arrangements and privacy information.
Calibration Training may receive transaction and enrolment information necessary to provide purchased courses, administer access rights and respond to relevant enquiries.
Paddle may act as an independent data controller for processing activities undertaken in its own capacity as Merchant of Record.
5.4 Email and Business Communications
We use Microsoft 365 to receive, store and manage business correspondence, including messages sent to our Contact, Support and Privacy mailboxes.
We currently use Hostinger's email infrastructure to send automated website emails, including notifications generated through our website forms.
Depending on the nature of the communication, relevant personal data may be processed by these providers for the delivery, storage and security of email communications.
5.5 Professional Advisers and Legal Obligations
Where reasonably necessary, we may share relevant personal data with professional advisers, such as legal or accounting advisers, subject to applicable confidentiality and data protection requirements.
We may also disclose personal data where required by applicable law, a valid legal obligation or a lawful request from a competent authority.
5.6 Protection of Personal Data
Where a service provider processes personal data on our behalf as a processor, we will ensure that appropriate contractual arrangements are in place as required by applicable data protection law.
Where a third party acts as an independent data controller, that party is responsible for its own processing activities in accordance with applicable law.
We limit the sharing of personal data to what is reasonably necessary for the relevant purpose and apply appropriate organisational and technical safeguards.
Information about any relevant international transfers of personal data is provided separately in this Privacy Policy.
6. International Transfers of Personal Data
Calibration Training is operated by e-Consilio B.V., a company established in the Netherlands.
In providing our website, online training services, payment facilities and business communications, personal data may be processed by service providers or their authorised subprocessors located outside the European Economic Area (EEA), or may be accessed from countries outside the EEA.
Where personal data is transferred to a country outside the EEA and the General Data Protection Regulation (GDPR) applies, we will ensure that the transfer complies with the applicable requirements of Chapter V of the GDPR.
Depending on the circumstances, appropriate transfer mechanisms may include:
- An adequacy decision issued by the European Commission for the relevant country or transfer framework.
- Standard Contractual Clauses approved by the European Commission, together with supplementary safeguards where required.
- Another transfer mechanism or derogation permitted under applicable data protection law, where its conditions are satisfied.
Where Standard Contractual Clauses are used, we will assess whether additional measures are necessary in light of the circumstances of the transfer.
We will take reasonable steps to ensure that relevant service providers and subprocessors are subject to appropriate contractual and organisational safeguards.
The applicable transfer arrangements depend on the services used, the location of the relevant recipients and the nature of the personal data involved.
Individuals may contact us for further information about applicable international transfer safeguards and, where relevant, how to obtain a copy of those safeguards or information about where they are available.
Privacy enquiries: privacy@calibration.training
Nothing in this section limits rights granted to individuals under applicable data protection law.
7. Data Retention
We retain personal data only for as long as necessary for the purposes for which it was collected or otherwise processed, subject to applicable legal, contractual and regulatory requirements.
The applicable retention period depends on the type of personal data, the purpose of processing and any relevant legal obligations.
7.1 Learner Accounts and Course Enrolments
We retain learner account information and course enrolment records for as long as necessary to provide and administer the relevant training services, maintain valid course entitlements and fulfil applicable legal obligations.
Each individually purchased Self-Paced Online Training course provides twenty-four (24) months of access from the date on which the course is first made available to the designated learner.
The expiry of a Course Access Period does not automatically require the immediate deletion of all associated personal data.
7.2 Learning Progress, Assessments and Certificates
We retain relevant learning progress, assessment results, course completion records and certificate information for as long as necessary to administer the training service, establish completion, handle relevant enquiries and fulfil applicable legal or contractual obligations.
Certificates remain available for viewing or downloading through the learning platform only during the applicable Course Access Period, as described in our Terms & Conditions.
The end of certificate download availability does not necessarily mean that all underlying completion or certificate records are immediately deleted.
7.3 Purchase and Transaction Records
We retain relevant purchase and transaction administration records for as long as required by applicable accounting, tax and other legal obligations, or as otherwise necessary to establish, exercise or defend legal claims.
Paddle, acting as Merchant of Record, determines retention periods for personal data processed under its own responsibility in accordance with its applicable privacy information and legal obligations.
7.4 Contact and Support Correspondence
We retain contact and support correspondence for as long as reasonably necessary to respond to enquiries, resolve reported issues, maintain relevant records and handle possible follow-up questions or disputes.
Where correspondence is no longer necessary for these purposes and no applicable legal obligation requires continued retention, it will be deleted or otherwise handled in accordance with our retention procedures.
7.5 Technical and Security Information
Technical logs, diagnostic information and security-related records are retained for periods appropriate to their operational or security purposes, taking account of applicable legal requirements.
The actual retention periods may depend on the relevant hosting provider, system configuration and security arrangements.
7.6 Legal Claims and Mandatory Retention
Where necessary, we may retain relevant personal data for longer periods to comply with applicable legal obligations or to establish, exercise or defend legal claims.
Such retention will be limited to the information and period reasonably necessary for the relevant purpose.
7.7 Deletion, Anonymisation and Retention Reviews
When personal data is no longer required for a valid processing purpose and no applicable retention obligation or lawful justification remains, we will delete or anonymise it as appropriate.
We will review our retention practices and apply reasonable procedures for the management and deletion of personal data.
Individuals may request information about applicable retention periods or the criteria used to determine them by contacting:
Privacy enquiries: privacy@calibration.training
8. Data Security
We take the security of personal data seriously and implement appropriate technical and organisational measures to protect personal data against unauthorised access, accidental loss, unlawful disclosure, alteration, destruction or other unlawful processing.
The measures we apply are determined by the nature, scope, context and purposes of the processing, taking account of the risks to the rights and freedoms of individuals.
8.1 Access Control
We restrict access to personal data to authorised persons who require such access for legitimate business, administrative, technical or support purposes.
Access permissions are managed according to the responsibilities of the persons concerned and the requirements of the relevant systems.
8.2 Website and Learning Platform Security
We take reasonable measures to maintain the security of the calibration.training website, learner accounts and learning platform.
These measures may include access controls, software maintenance, security updates, monitoring and other safeguards appropriate to the relevant systems and identified risks.
8.3 Protection of Communications and Stored Data
We use appropriate security measures to protect personal data during transmission and storage, taking account of the technologies and service providers involved.
The specific safeguards depend on the nature of the data, the processing activity and the technical arrangements in place.
8.4 Service Providers
Where third-party service providers process personal data on our behalf, we assess and apply appropriate contractual, organisational and technical safeguards in accordance with applicable data protection requirements.
Service providers acting as independent data controllers are responsible for their own processing activities under applicable law.
8.5 Personal Data Breaches
Where we become aware of an actual or suspected personal data breach, we will assess the circumstances and take appropriate measures in accordance with applicable data protection law.
Where legally required, we will notify the competent supervisory authority and, where applicable, affected individuals within the relevant statutory time limits.
8.6 Learner Account Security
Learners are responsible for keeping their login credentials confidential and for taking reasonable precautions to protect their accounts.
Learners should contact Calibration Training if they become aware of, or reasonably suspect, unauthorised access to their accounts.
Support: support@calibration.training
8.7 Ongoing Security Review
We review and adjust relevant security measures where appropriate, taking account of changes in our systems, services, identified risks and applicable legal requirements.
Although we take appropriate measures to protect personal data, no internet-based system can be guaranteed to be completely free from security risks.
This does not limit our obligations under applicable data protection law.

Where personal data is processed for direct marketing purposes, you have the right to object to such processing at any time.

Where we rely on your consent for a particular processing activity, you may withdraw that consent at any time.
Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.
9.8 Rights Relating to Automated Decision-Making
Where applicable, you have rights concerning decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you.
Further information will be provided where such processing takes place and applicable law requires it.
9.9 How to Exercise Your Rights
You may submit a request concerning your data protection rights by contacting:
Privacy enquiries: privacy@calibration.training
Please provide sufficient information for us to understand and process your request.
